Electronic processing of entire incoming invoice flow thanks to Certipost and BancTec partnership
A recent study of Factuurwijzer in The Netherlands shows that more than half of all invoices are sent and received electronically. This implies that most companies, in practice, have to deal with electronic and paper invoices. To give companies in The Netherlands an all-in solution to process their incoming invoices, Certipost, experienced specialist in the secure electronic exchange of data, entered into a strategic partnership with BancTec. BancTec will be responsible for scanning and processing the paper invoice data.
Because in practice most companies send and receive both electronic and paper invoices, invoices are usually processed partly digitally and partly manually. However, archiving paper documents is becoming increasingly expensive. For instance, currently an electronic invoice is 57 per cent cheaper than a manual invoice with regard to outgoing invoices and even 62 per cent cheaper with regard to incoming invoices. And the manual processing of paper invoices is making it increasingly difficult to meet the stricter requirements in terms of rapid accessibility of information. New regulations for reporting and archiving complicate the management of paper invoices even further. Moreover, in many cases, electronic and paper invoices are processed in two different systems. This is not only inefficient, but also increases the chance of errors.
One electronic processing system
The aforementioned disadvantages can be remedied by processing paper invoices electronically as well. To make this possible, Certipost entered into a partnership with BancTec. Thanks to BancTec's Scan & Capture solution, paper invoices can be scanned and data can be read and validated. The integration of the Certipost and BancTec solution resulted in an all-in solution that allows companies to process the entire incoming invoice flow digitally via the Certipost electronic communication platform. Via a connector, companies can easily make a link between the Certipost platform and their accounting or ERP software. The digital data of both the electronic and paper invoices are directly booked in the client's own system in the same way. The approval and release for payment requires minimal manual intervention.
