IT Solutions and Certipost complement each other

EuroSys processes the majority of its incoming invoices fully automatically in Microsoft Dynamics NAV. To achieve this, the well-known Limburg-based computer store chain approached its affiliate IT Solutions and e-invoicing specialist Certipost. “IT Solutions and Certipost are both experts in their field, and their solutions complement each other perfectly,” explains Mark Lens, CEO and founder of the EuroSys-IT Solutions group.

To sustain its successful growth, EuroSys continually invests in improving its business processes. “An important issue was the increasing amount of paper invoices we received. Keying the invoice data into our ERP system was an unproductive and time-consuming task for our bookkeeping staff. The introduction of electronic invoicing provided the ideal opportunity to automate that process and to maximise staff potential.” Less manual work means fewer errors and more time to provide a better service.

IT Solutions developed a module for entering invoice data into the ERP system on a fully automated basis. Daniel Mees, Sales Manager at IT Solutions: “EuroSys receives invoices from its distributors and telecom providers in an electronic format, via the Certipost platform. The software module recognises specific data in the electronic file, such as the invoice amount or the supplier's VAT number. It then matches these data against the financial database and automatically enters the invoice into our system.” The module is easy to implement with other IT Solution customers.

The EuroSys supplier bookkeeping runs more quickly and accurately than ever, with the same number of staff. “Our investment pays itself back many times in terms of savings on labour costs,” concludes a satisfied Mark Lens.
