IBS

IT company IBS automates business processes. It offers multinationals and SME’s customised total packages and solutions. As an extension of its existing ERP software Application SoftWare and at the request of some of its clients, IBS has created a standard solution together with Certipost for the processing of electronic invoicing.

IBS consequently developed extra software to send electronic invoices from Application SoftWare (ASW) and the AFS financial module. AIDA (Advanced Integration of DB2Applications), IBS’s connector for data exchange via EDI and SML, is used for this purpose. ASW runs on the IBM systems i5 (formerly AS/400). With the help of AIDA not only customers that work with ASW or AFS, but other companies as well, can use IBS and Certipost.

Bart Vanhoutte: “The financial data are converted to an XML format via our AIDA connector, and they are put on the CertiONE platform via the Certipost connector. Time savings and a substantial reduction in the risk of error are of course the main benefits. The data come directly from the system and are no longer entered manually.”

IBS first implemented its application at the beginning of this year at Igepa, a paper wholesaler. Bart Vanhoutte: “Thanks to good preparation, the implementation ran very smoothly. There were no significant problems, the reactions were unanimously positive and after a few adaptations we managed to obtain a nice standard application."

Standards in pharmacy
IBS also worked together with Certipost at Pfizer. Wim Dekimpe, AIDA product manager at IBS, explains: “Our client Pfizer, a world player in the pharmaceutical sector, places all its orders with customers electronically. For example, it informs a hospital automatically when the order request has been received, when the goods are to be delivered, when an invoice arrives, etc. Because Pfizer is not the only supplier and because not everyone works with the same standards, electronic invoicing is not straightforward. Therefore ten big players, including Pfizer, drew up a uniform protocol. They looked, for instance, at which messages they should send, how they should be sent and in which format. IBS wrote the software, based on AIDA, in order to create the messages from the client’s application. However, the data had to be retrieved from its database. IBS also supplied the software for hospitals and other clients. The Certipost network was chosen for the mutual exchange of the data.”
